Update the calendar (Participant)

The calendar lists Web Site events. Participants can add one-time events (birthdays, conferences, parties, or games) and recurring events (meetings, practices, or classes). 

Both guests and participants can view the calendar depending on whether the Web Site Administrator made the calendar public or private. Participants can add events to the calendar if the Web Site Administrators gave them permission.

View the calendar

The calendar can be viewed in two formats. The Web Site Administrator decides which calendar view appears by default on the calendar page.

The wall calendar lists events in a large monthly format. You can click an event name to read more about that event and add events to specific dates.

  1. To view the wall calendar, click the Wall button beneath the small calendar in the left frame.
  2. To view event details, click the event name listed within a day.
  3. To view a different month, click the drop-down month and year lists at the top left of the calendar. Select the month and year you want to view and click Go! next to the year drop-down list. 
  4. To view the entire day's events, click on either the numeric date or the three dots at the bottom of each day.

    (Only the first six events are on each day. If there are additional events, you will see three dots listed at the bottom of that day.)

The desk calendar splits the screen into a small monthly calendar in the left frame and an event list in the right frame.

  1. To view the desk calendar, click the Desk button above the wall calendar view. Shaded days indicate that an event has been scheduled.
  2. To view event details, click the underlined event name in the right frame.
  3. To view a certain week in the right frame, click Wk next at the end of the appropriate row.
  4. To view a different month, click the arrows at the top of the small calendar in the left frame. You can also select the month and year from the drop-down lists beneath the calendar, then click Go! The events display in the right frame.
  5. To view other date ranges, click one of the links at the top of the right frame. These links list events for Today, This Week, This Weekend, This Month, All Current, and Past Events.
 
Add an event to the calendar

If the Web Site Administrator gave participants permission, you can add events to the calendar. You can add events of different durations to the calendar:

  • One time only (simple): a one time event that occurs on one day only. Includes name, description, date, time, and location
  • One time only (detailed): includes all of what the simple form does plus the ability to select an event category, pricing, and contact information.
  • Annual: A once-a-year event such as a birthday or anniversary.
  • Multi-day or Daily: An event that occurs over more than one day: a conference or weekend family reunion, for instance.
  • Monthly (pick days): For instance, a dance that occurs on the 2nd Tuesday of every month, or some frequency of months.
  • Monthly (pick dates): This type of event occurs every month on a specific date of a particular month or frequency of months, such as payday on the 1st of every month.

To add an event, access the calendar by clicking the Calendar link on the home page.

  1. Click the Update button beneath the calendar.
  2. To indicate how often the event will take place, select the frequency from the drop-down list.
  3. Click Add Event.
 
Name, describe, and specify the date and time

After you add the event, the event details page appears.

  1. Type the name of the event in the Event name text box.
  2. Type the description of the event in the Brief Description text box.
  3. If there's a related Web Site, type it in the Related Web Site text box.
  4. Select the event date from the Event Date drop-down list. (If the event is recurring, this date will be the date of the first chat.)
  5. If it's an annual event, click the Yes or No radio button.
  6. If the event has a start time, select it from the Start Time drop-down list and select the PM or AM radio button.
  7. If the event will occur only by appointment, select the By Appointment radio button.
  8. If the event doesn't start at a certain time, select the No specific start time radio button.
  9. If the chat has no start time, select the No specific start time radio button.
  10. Now select the event's end time from the drop-down list and select the PM or AM button. If the event never ends, select the No specific end time radio button.
 
Indicate a location and category for the event

After you indicate the name, description, and date and time for the event, you need to tell participants where the event will take place. You also need to specify a category for the event.

  1. In the Location section of the event details page, select a location from the list on the left or type the new location information in the text boxes on the right.
  2. In the Categories section, select a category from the list.
 
Specify where the event will be published
The last step in updating the calendar is specifying where the event will be published. You can publish the event to the calendar and any channel listed on the Web Site. Select the check box to indicate where the event will be published.
 
Search for an event

To search for calendar events on either calendar:

  1. Click Search beneath the desk calendar or above the wall calendar.
  2. Type a keyword in the field. You can also select a category, date range, or both in which to search.
  3. Click Search! The results appear in the right frame.
